Introduction
Upon acceptance of your membership application by the Board of the Visual Media Association (VMA or Association), you, as the authorised representative of the member company, agree to be bound by and comply with the Constitution of the Visual Media Association. A copy of the Constitution is available on the VMA Member Lounge.
Full membership of VMA continues until any changes are advised by you in writing. Notice of changes, including cessation, must be provided at least sixty (60) days prior to resignation or membership change.
Associate memberships are by negotiation and confirmed in writing with the VMA Chief Executive Officer.
Membership payment can be made via credit/debit card, bank transfer, or direct debit annually. An invoice for the twelve (12) month membership period is issued with payment terms of thirty (30) days.
For direct debit:
Membership continues monthly but is based on a twelve (12) month subscription.
Termination requires either full payout of the 12-month period or sixty (60) days’ notice.
VMA imposes a surcharge on credit/debit card and direct debit payments, which does not exceed the cost of acceptance.
Agreement – General Terms
By agreeing to and being accepted as a VMA member, I confirm that I am authorised to agree on behalf of my company to the following:
VMA may promote my company as a member for the full duration of membership.
I am authorised to enter a rotational membership on behalf of my company, aligned with VMA’s financial year (1st January to 31st December).
Membership rolls over each year unless I provide 60 days’ notice in writing, no later than 30th October.
Membership fee is $220.00 per employee (as amended from time to time) and invoiced from 1st January for the full financial year.
Signatory of the membership form and invoice acceptance is a legal commitment, and all information provided is accurate.
VMA may verify the number of employees and charge any additional fees immediately if discrepancies are found.
Membership fees are non-refundable.
I agree to abide by all VMA member rules and related requirements, including conduct that may affect VMA’s reputation.
I may be required to comply with other policies and guidelines as implemented.
Content provided by VMA remains VMA property and is subject to copyright.
Misuse or misrepresentation of VMA materials indemnifies VMA from any liability.
My data will be added to VMA’s database for membership communications, including events and marketing.
Attendance at VMA events may involve photography/video; I consent to VMA using such imagery without compensation.
Advice provided by VMA is given in good faith, based on full disclosure of facts.
Any changes to member details must be provided in writing.
Information provided on behalf of my company (e.g., number of employees) is accurate and confidential.

Membership and Access
Certain content may require membership. You must provide accurate information when registering.
VMA reserves the right to terminate or suspend access at its discretion.
By using your devices to print, download, or access content, you release VMA from any loss or damage incurred.
While VMA secures information in transit, it cannot guarantee that digital footprints are not stored outside VMA’s control.
Changes to Terms
VMA may modify or update these Terms and Conditions at any time without prior notice. Updated terms apply from the time they are posted on the VMA website. Members are responsible for reviewing terms periodically.
Glossary of Terms
Association – Visual Media Association.
Constitution – Rules of VMA as registered with the Fair Work Commission, including amendments.
Content – Any content on the VMA website, hardcopy, or other media.
Member – Current financial member company of VMA.
Terms and Conditions – This document, including all related VMA policies, documents, and guidelines.
VMA – Visual Media Association.
Interpretation
Unless the context requires otherwise:
Words like “such as,” “including,” and similar expressions are not limiting.
Singular includes plural and vice versa.
Words with a particular meaning apply to other grammatical forms.
Headings are for convenience only.
References to law include amended or replaced versions.
Gender-specific words include all genders.
If there’s a conflict between these Terms and the Constitution, the Constitution prevails.
